1. Information We Collect
We collect information you provide when you:
- Create an account (name, email, phone number, date of birth)
- Register for an event (emergency contact, additional details required by the organizer)
- Link a timing tag code to your account
- Contact our support team
- Subscribe to marketing communications
2. Location & Device Permissions
Our mobile app collects precise location data (GPS) to power activity tracking. When you start recording a run, ride, walk or other outdoor activity, the app logs your location to map your route and calculate distance, pace, splits and elevation.
With your permission, the app also collects location in the background — while the screen is off or the app is not in the foreground — so that an activity you have started keeps tracking accurately until you stop it. A persistent notification is shown on your device the whole time location is being collected, and collection stops as soon as you end the activity.
Location is only collected after you explicitly start an activity and grant location permission. You can decline or revoke location access at any time in your device settings; this disables GPS activity tracking but does not affect the rest of the app. We use your location data solely to record and display your own activities, routes and results. We do not sell your location data, and we never use it for advertising.
Beyond location, the app may request the following permissions. Each is requested only when you first use the related feature, each is optional, and declining one disables just that feature — not the rest of the app:
- Camera — to take a profile photo or capture a background image for an activity share card.
- Photos & media — to let you choose an existing image for your profile, share cards or activity moments.
- Files — to let you attach a file you select when creating an activity moment.
- Notifications — to send push alerts for registrations, results, kudos, workout reminders and announcements. We store a push-notification token for your device to deliver these; you can turn notifications off at any time.
- Google account (Sign in with Google) — if you choose Google sign-in, we receive your name, email address and profile photo to create or access your account.
You can review or revoke any of these permissions at any time in your device settings. Photos, files and camera images you select are uploaded only to provide the feature you chose (e.g. your profile picture or a share card) and are not used for advertising.
3. How We Use Your Information
We use your information to:
- Record and map your GPS activities — route, distance, pace and elevation
- Provide and maintain the Platform
- Process event registrations and payments
- Display results and leaderboards
- Calculate points and manage tier progression
- Send transactional emails (registration confirmations, results, etc.)
- Send marketing communications (with your consent)
- Improve the Platform and user experience
- Comply with legal obligations
4. Information Sharing
We share your information with:
- Event Organizers: When you register for an event, the organizer receives your registration details and emergency contact information.
- Timing Partners: Your name and tag code are shared with the timing partner for result processing.
- Payment Processors: Paynow and Stripe process your payments on our behalf. We do not store full payment card details.
- Service Providers: We use third-party services for email delivery (SMTP), SMS (Africa's Talking), file storage (MinIO), and analytics.
5. Data Retention
We retain your account information for as long as your account is active. You may request deletion of your account by contacting us. Event registration data is retained for record-keeping and may be required by event organizers for liability purposes.
6. Your Rights
You have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data (subject to legal obligations)
- Withdraw consent for marketing communications
- Export your data in a portable format
7. Cookies
We use essential cookies for authentication and platform functionality. We do not use third-party tracking cookies for advertising. Analytics cookies may be used to improve the Platform experience.
8. Data Security
We implement appropriate technical and organisational measures to protect your data, including encryption in transit (TLS) and at rest. However, no method of electronic storage is 100% secure.
9. Third-Party Links
The Platform may contain links to external sites (e.g., event venues, payment gateways). We are not responsible for the privacy practices of those sites.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or through the Platform.
